YOUR INFORMATION, TREATED WITH CARE

Privacy policy

This policy explains what information Husano handles when landlords, property managers, caretakers and tenants use our website, dashboard or optional notification features, and the choices available to each person.

Effective and last updated:

1. Who we are

Husano is a property-management service operated by Ervin Solutions Limited, a company registered in Kenya (company no. PVT-EYUBPQ98). Ervin Solutions Limited is the data controller for the personal data described in this policy and decides how it is used to operate and secure Husano.

A landlord or property manager may also be a data controller for the tenant, caretaker and property records they provide to Husano. They remain responsible for collecting that information lawfully and giving the people they manage appropriate notice.

Questions or requests can be sent to info@husano.com. References to “Husano”, “we”, “us” or “our” in this policy mean Ervin Solutions Limited.

2. Information we collect

Depending on how you use Husano, we may handle:

Identity and contact
Name, phone number, email address, role and the property or organisation with which you are associated.
Property and occupancy
Property and unit details, addresses, occupancy status, move-in and move-out dates, rent, deposits, charges and the people linked to a unit.
Billing and payments
Invoices, balances, payment amounts, dates, methods, references, payer phone numbers, allocations and payment-provider status. We do not receive your M-Pesa PIN or online-banking password.
Building operations
Meter readings, water use and charges, maintenance requests, notes and the actions taken by authorised property staff.
Notifications and support
Notification details and delivery status, the record of your opt-in and opt-out choices (when, how and by whom each was recorded), replies or support correspondence you choose to send, and other information you include in a request.
Dashboard and device
Account and sign-in records, security and audit events, IP address, browser or device information and essential session cookies.
Demo requests
The name, phone number, email, message and campaign tags you submit. The request is delivered to our business mailbox; the website does not create a separate database record for it.

We minimise sensitive identifiers. Husano does not ask for or store national ID or passport numbers. Lease paperwork, including any identity document a landlord lawfully needs, is handled outside Husano. Husano will never ask you for a full payment-card number, bank or other financial account number, payment PIN or password. Please do not send identity documents, those details, biometric information, health information or other unnecessary private information in a notification reply, through the dashboard or in the demo form.

We receive information directly from you, from an authorised landlord, property manager or caretaker, from a notification provider such as Meta when you choose that channel or contact Husano, and from payment providers when they report a transaction. If someone gives us information about another person, they must have a lawful reason and authority to do so.

Husano is meant for adults. We do not knowingly send notifications to or create an account for anyone under 18.

3. How and why we use information

Provide the service
Set up accounts and properties, connect authorised users, issue and explain bills, record readings and payments, manage maintenance and provide support. We rely on performance of a contract or steps requested before entering one.
Operate responsibly
Keep records accurate, reconcile payments, troubleshoot, monitor delivery and improve service workflows. We rely on our legitimate interests in running a reliable property-management service, balanced against your rights.
Protect Husano
Authenticate users, restrict access, investigate misuse, prevent fraud, keep audit trails and protect people and systems. We rely on legitimate interests and, where applicable, legal obligations.
Meet legal duties
Maintain accounting or transaction records, respond to lawful requests and exercise or defend legal claims. We rely on legal obligations and legitimate interests.
Respond to interest
Contact people who request a demo or ask a question. We rely on steps taken at their request and our legitimate interest in responding. We use consent where the law requires it, including for optional marketing.

We do not sell personal data. We do not use Husano data for targeted advertising, and we do not make decisions with legal or similarly significant effects solely by automated means. Bills may be calculated automatically using the rates and readings configured for a property, but authorised users can review and correct the records.

4. Optional notifications and your choices

All Husano notifications are optional for staff and tenants. You can choose whether to receive them and can stop them at any time without affecting your account, role, tenancy, charges or access to Husano. Where you choose WhatsApp, notifications are sent in the name Husano on behalf of the landlord or property manager of your building.

How you opt in
A staff member or tenant can opt in directly, or can ask an authorised caretaker or property manager to record their choice. Before notifications are enabled, you must be told that they are optional, what kinds of updates you may receive, which channel will be used and how to stop them. We record that choice. If you choose WhatsApp, the first notification names Husano and your building and lets you confirm or stop.
What we send
Relevant updates about your account, role or tenancy, bills, payment receipts and balances, rent and payment reminders, notices about your building and maintenance. Staff may also choose operational alerts about the properties they manage. We do not send advertising or promotional messages.
How you opt out
You can change your choice at any time. For WhatsApp, open the Husano menu and choose Stop WhatsApp messages, type STOP or email info@husano.com. We confirm once, then send no further notifications on that channel. To opt back in, choose Resume WhatsApp messages in the menu or type START. You can also block Husano in WhatsApp.
What opting out changes
Opting out stops optional notifications on that channel only. It does not close your account, change your role, cancel your tenancy, alter rent or charges, or restrict access to Husano. We keep the record of your choice and may show authorised property staff that you opted out so they know to contact you another way.
How to get personal help
Notifications do not replace direct contact with the people responsible for your property. Contact your caretaker or property manager, or email info@husano.com and a member of our team will reply.

We use notification information only to manage your choices, deliver the updates you selected and respond if you contact us. We do not use it for advertising or sell it. Your landlord, property manager or caretaker sees only the records their role needs, such as bills, payments, readings, maintenance requests and notification preferences for their building.

5. Who we share information with

We disclose only what is reasonably necessary to:

  • authorised landlords, property managers, caretakers and tenants, according to their role and the properties linked to them;
  • Meta and WhatsApp, to receive and deliver WhatsApp notifications and manage replies or notification choices;
  • payment providers and financial institutions, such as M-Pesa or another method configured by a property, to initiate, confirm and reconcile transactions;
  • email providers, to deliver demo enquiries, account messages and support correspondence;
  • hosting, database, security and technical service providers that run and protect Husano under our instructions; and
  • professional advisers, regulators, courts or law-enforcement bodies where required by law or reasonably necessary to establish, exercise or defend a legal claim.

Providers may receive information under their own terms and privacy policies when they act independently—for example, your mobile-money provider or WhatsApp.

6. International transfers

Some technology providers, including Meta, email or hosting providers, may process information outside Kenya. Where personal data is transferred outside Kenya, we use safeguards required by the Kenya Data Protection Act, such as an adequate level of protection, appropriate contractual safeguards or your consent where that is the proper basis. Contact us if you would like more information about the safeguard used for a particular provider.

7. How long we keep information

We keep personal data only while it is needed for the purpose for which it was collected, then delete or anonymise it unless a longer period is required for law, accounting, fraud prevention or a legal claim. Our normal periods are:

  • demo enquiries: up to 12 months after the last contact, unless a customer relationship begins;
  • notification delivery, maintenance requests and support records: up to 24 months after the matter closes, unless they form part of an occupancy or financial record;
  • account, property and occupancy records: while the relevant account or customer relationship is active and normally up to 24 months afterwards;
  • invoices, payments and records needed for accounting, tax or legal claims: up to 7 years after the relevant transaction or relationship ends;
  • notification opt-in and opt-out records: while you remain a Husano contact and up to 24 months afterwards, so we can show the permission behind each notification;
  • security and technical logs: normally up to 12 months; and
  • residual copies in protected backups: until they are overwritten on the ordinary backup cycle.

A landlord or property manager may require a different lawful period for records they control. We may also preserve specific information longer when a dispute, investigation or legal hold is active.

8. Your data-protection rights

Under Kenya’s Data Protection Act, you may have the right to be informed, access your personal data, object to processing, correct inaccurate or misleading data, request deletion, restrict processing, receive portable data and withdraw consent where processing relies on consent. Some rights are limited where information must be retained by law or is needed for another person’s rights or a legal claim.

Email info@husano.com with your request and enough information for us to identify the relevant account or property. We may verify your identity without asking for a copy of your national ID. We will respond within the period required by law and will explain if we cannot fully grant a request.

You may also complain to Kenya’s Office of the Data Protection Commissioner.

9. Security

We use administrative, technical and organisational safeguards designed for the nature of the information we hold. These include role-based access, authenticated dashboard sessions, access checks, encryption in transit, protected credentials, audit records and service-provider controls. No system is perfectly secure, so please protect your account details and tell us promptly if you believe an account or message has been misused.

10. Cookies and website measurement

The dashboard uses an essential, secure session cookie to keep signed-in users authenticated. Husano does not currently use advertising cookies or third-party behavioural analytics on the website. A demo-request link may contain campaign tags; if you submit the form, those tags may be included with the request so we can understand how you found us.

11. Changes and contact

We may update this policy when the service, providers or law changes. We will post the revised policy here, change the “last updated” date and give additional notice where a change materially affects your rights.
